The purpose of this generic role is to provide timely and effective personal assistant support services for one or more of the company’s Heads of Function.  This role requires limited pr



• Use independent judgement to provide timely and effective administration support to one of more Heads of Function
• Answer telephones, screen calls and take messages from external or internal sources and deal professionally with visitors to Certus so that callers/visitors are dealt with promptly and courteously
• May have access to the email accounts of managers supported to schedule their appointments and answer or redirect enquiries from internal or external sources
• To prepare, format and/or proof read a wide variety of material (for example correspondence, invoices, contracts, meeting minutes, reports and presentations)
• Complex diary management for Heads of Function supported – this will include scheduling and confirming appointments and making travel/accommodation arrangements to ensure best use of manager’s time
• Coordinate internal and external meetings so that they run smoothly.  This may include scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available, for example equipment, food and drinks
• Perform any other administrative tasks using independent judgement and discretion
• Plan, organise and schedule own workload so that tasks are completed accurately and on time
• Work as a member of the PA team, providing support and assistance to the other PAs in the company


Key Skills, Experience and Competencies

• Use of MS Office suite – Word, Excel, PowerPoint, Outlook to a proficient level
• Strong time management skills with an ability to multitask and prioritise correctly whilst maintaining high standards of accuracy and attention to detail
• Strong interpersonal skills and the ability to form working relationships with a wide range of senior colleagues across the business
• Ability to work on own initiative
• Previous PA/administration experience desirable but not essential
• Discretion required at all times due to dealing with confidential client and personnel information
