Position:               Office Administrator (6 month temporary contract to cover Career Break)    

Department:        Shared Services

Reporting to:       HR Manager        

Location:              Dublin 2

 Scope of position:             

This is a 6 month temporary contract to cover reception and administration duties in the Dublin office, and to assist the Greenore Office Manager as required. 

Main Duties & Responsibilities:

Within a small team, this role is extremely varied in nature.  As such, it is critical that the individual assuming the role is a true team-player, with an ability to pre-empt and support a broad range of tasks.  The person will primarily provide direct support to the departments located in the Dublin office, but this will also extend as required to support for Greenore-based departments also, and the requirements may often extend beyond the scope of the job description.  There may be a requirement for some business travel within the role.

  • Reception duties - Reception is the first experience that many visitors will have of OpenHydro.  It is essential that reception procedures are implemented and maintained to a very high standard.  Appearance should be professional at all times.  Reception duties cover a wide variety of tasks including greeting guests, setting up meeting rooms, taking phone calls and travel management for the company.
  • Administrative Support - Secretarial and administrative support will be provided as required for Executive Management.  As such, proficiency in all desktop applications is a requirement for the role. 
  • Office Maintenance Duties  - Primarily responsible for ensuring that the facilities are maintained to the high standard expected within the company. 
  • Ad-hoc - Any ad-hoc queries that may arise, including liaising with IT support issues, mobile phone set up, ad-hoc projects and PR admin responsibility.

  • Attention to detail is of critical importance
  • Should be able to pre-empt the needs of the business from an administrative point of view, and take initiative.
  • Individual should be incredibly flexible to deal with competing demands and new priorities.
  • Should be professional and presentable at all times.
  • Ability to deal with all levels in the business - up to and including Board of Directors.
  • Demonstrated ability to be discrete is a requirement for the role.
  • Time management and good time-keeping is very important in the role.
  • Experience of working with SAP an advantage.
