Haiti Programme Support Intern – JobBridge Scheme

Job Title:

Programme Support Officer  (Dublin based)

 

Reports to:

Regional Director

Liaises with:

Liaising closely with Desk Officer for Haiti

Location:

Dublin

Contract Length:

9 months

Learning Outcomes:

 

The intern will gain practical experience in

  • ·         Input of ECHO e-single form (and E-form of EU proposals if such is introduced by the EU)
  • ·         Update & monitor  donor portfolio
  • ·         Update COPS (donor financial monitoring system)
  • ·         Provide administrative support for visitors, consultants etc. travelling to Haiti
  • ·         Manage the storing of documentation, both electronic and hard copies

 

The intern will receive formal/ informal training in the following

  • ·         ECHO e-single form (and E-form of EU proposals if such is introduced by the EU)
  • ·         Concern knowledge database systems
  • ·         Concern finance systems
  • ·         Concern induction

 

On completion the intern will have attained skills in

  • ·         Initial review of financial documents such as FRPs (financial reporting package) and BRs (Budget Revisions)
  • ·         Initial review of donor proposals, reports, case studies and programme documents as delegated by the Desk Officer (DO)
  • ·         Update & monitor  donor portfolio

 

 

 

Main duties &

Responsibilities:

 

  • ·         Input of ECHO e-single form (and E-form of EU proposals if such is introduced by the EU)
  • ·         Update & monitor  donor portfolio
  • ·         Update COPS (donor financial monitoring system)
  • ·         Deal with queries from the general public on Haiti such as from ‘Dublin info’ email address
  • ·         Initial review of financial documents such as FRPs (financial reporting package) and BRs (Budget Revisions)
  • ·         Initial review of donor proposals, reports, case studies and programme documents as delegated by the Desk Officer (DO)
  • ·         Update and upload relevant documents onto the intranet
  • ·         Follow up on queries from Ireland, UK and USA offices in relation to Logistics, HR, IT, Finance, Fundraising, Communications and Development Education.
  • ·         Provide administrative support for visitors, consultants etc. travelling to Haiti
  • ·         Manage the storing of documentation, both electronic and hard copies
  • From time to time assisting other Desk Officers with specific requests for information and documentation support
  • Any other duties deemed appropriate for the role

 

Person specification:

 

Essential:

  • Third level qualification in Development studies or related discipline
  • Good analytical skills
  • ·         Proven ability in writing, research and documentation
  • ·         Proven ability in budgeting
  • ·         Ability to work under pressure  to meet deadlines
  • ·         Analytical and problem solving skills
  • ·         Attention to administrative detail
  • ·         Excellent communication skills in English, both verbal and written
  • ·         Experience with computer graphics, software for page making and photo format, desktop publishing
  • ·         Flexible and adaptable
  • ·         Ability to work as part of a team
  • ·         Ability to use own initiative
  • ·         Written French beneficial but not essential
  • ·         Good organisational skills – is methodical and thorough
  • ·         Microsoft Exel and Word
