Executive Assistant - Contract


The Role
To provide a dedicated Personal Assistant role for The European Chief Claims Officer and one other Senior Claims Manager to maximise the effectiveness of their time and activity. This is a maternity contract role.

Key Accountabilities
- Provide Personal Assistant and secretarial support to the European CCO and one other Senior Manager
- Ensure that travel plans are effective, time efficient and permit as much business activity as possible
- Ensure the European CCO is fully prepared/briefed for meetings/presentations/speeches/ Lunches, etc, collating necessary papers and producing briefing notes as required
- Effectively manage multiple tasks and conflicting priorities relating to the executive’s office and determine what needs to be brought to the attention of the European CCO
- Manages work of an extremely confidential and sensitive nature
- Represents the CCO Office and is the first point of contact for a wide audience both internally and externally e.g. clients, regulators, Press etc.

- Quality, quantity and timeliness of outputs
- Demonstrate a flexible and co-operative approach towards changing business needs
- Ensure own and executive’s time and workload is managed efficiently and effectively

Skills and Experience
RELATIONSHIPS Ability to develop and manage relationships with the following internal and external audiences:
- Reports directly to the CCO
- Collaborates with other secretaries regarding diary management and prioritisation
- Liaises with executives’ direct reports

- Directors and/or their secretaries from other organisations and customer base
- A variety of external contacts to deal with queries often of a highly complex nature or ensure cases are handled by a suitable alternative person

- Minimum 3 Honours leaving certificate subjects Grade C to include Maths and English - preferably educated further level of qualification
- 7 years + secretarial experience
- Recognised PA qualification
- Proven track record as a PA
- Comprehensive knowledge of Microsoft, Lotus Notes and other PC software packages
- Thorough knowledge of secretarial principles and procedures

- Flexible approach to cross-site working and working additional hours
- Detailed knowledge of business in all areas
- Expert high level organisation, diary management and prioritisation skills
- Quality focus
- Ability to liaise with staff/customers at all levels
- Excellent written and verbal communication skills
- Effective people management skills - Customer orientated

- At all times, operate within the law and in accordance with pre-defined regulatory, compliance and financial requirements
- At all times, operate in accordance with group/company policy and processes - Adhere to best practice at all times

Travel & Other Requirements
- The position holder will need to demonstrate a flexible approach to cross-country working and undertaking additional working hours when required
- The role is based in Dublin, Ireland.
