TITLE:                                  Administrator – Care to Drive

REPORTS TO:                     Care to
Drive Coordinator

DEPARTMENT:                  Patient
Support Groups

LOCATION:                         Based in

HOURS:                                 Full Time
(35 hours/week)

Monday-Friday 9.00am–5.00pm

Time flexibility & some evening and weekend
work required

Contract Type:           Fixed Term

Overall Responsibility
  • To administer the Care to Drive programme on
         a day to day basis
  • Ensure all
         records and data entry is kept up to date
  • Adopt and act in a
         customer service mode and as an ambassador for the department and the Irish
         Cancer Society at all times
Main Duties and Responsibilities


Care to Drive

  • Strong emphasis on accurate and quick data entry
  • Manage referrals from all partner hospitals
  • Manage bookings from clients
  • Assist with the recruitment, training and ongoing supervision
         of volunteers, as required
  • Follow up on up to date insurance, NCT and drivers licence, as
  • Manage drivers expenses
  • Maintain drivers logs
  • Organise the driver’s rota
  • Organise the patient’s rota
  • Collect and collate statistics on all aspects of the project
  • Arrange support and supervision meetings
  • Maintain full project records in CARE
  • All secretarial duties as they arise



  • Reception rota cover as required
  • Other duties/projects as requested by the Care
         to Drive Coordinator
  • Assist with department meetings including arranging
         refreshments as required
  • Ensure any issues that arise are dealt with and/or are
         escalated as necessary



  • Maintain confidentiality at all times, and compliance with the
         Data Protection Act is an essential requirement.
  • The Irish Cancer Society operates a no-smoking policy and the
         post holder must not smoke in the office or when on Society business
         outside the office.

         their responsibilities towards health and safety and to adhere to fire

Person Specification
  • At least three years’ experience in administrator role
  • Strong numerical acumen
  • Demonstrate
         excellent administrative, file management and time management skills
  • High
         attention to detail especially on data records & processing expense
         claim forms
  • Excellent written and verbal communication
         skills, with the ability to communicate in a positive, open &
         courteous manner using tact and diplomacy
  • The ability to work independently as well
         as part of a tight knit team
  • Ability to prioritise workload and meet tight
  • Excellent
         organisational and interpersonal skills
  • Ability to deal with patients who might be distressed
  • Flexibility to work anti social hours on occasion
  • High level of proficiency in Microsoft Office Suite, databases
         and email
  • Excellent telephone manner
