The successful applicant for this post will

• Have a minimum of 3 years experience in administration within a medical setting and including front of house or reception experience.

• Have proven excellent communication skills, both written and verbal

• Be committed to providing a service which is prompt, comfortable, assured and empathetic for the service user and those accompanying them

• Be confidential, discrete and professional at all times.

JOB DESCRIPTION

Job Title: Assessment Unit Receptionist (fixed term)

Reporting to: Administration Manager

Place of Work: St. Patrick’s University Hospital, James’s Street, Dublin 8

Main Purpose: To ensure the service user’s experience of assessment and admission is prompt, comfortable, assured and empathetic.

To carry out all assessment and admission administrative processes.

To ensure all relevant hospital systems are adhered in the assessment and admission process.

Hours of Work: 35 hour week, worked Monday to Friday

Duties:

• The duties of the Assessment Unit Receptionist are outlined below.  In carrying out all duties, the Assessment Unit Receptionist should ensure that all Hospital procedures, Health & Safety policies and legislative requirements are met at all times.

o To meet and greet all service users and those accompanying them to the Assessment Unit.

o Provide relevant information regarding the assessment and admission process includinganticipated waiting times if relevant.

o Request service user Charts from Medical Records for scheduled assessments and admission the following day.

o Photocopy consultant notes, placing a copy on service user files and returning same to the relevant Medical Secretary.

o Liaise with regional Dean Clinics and associate Deans in accessing faxed copies of relevant service user records.

o Establish and implement a record of arrival and departure times to and from Assessment Unit for each service user.

o Liaise with CNM II in ensuring assessing doctors attend assessment appointments on time.

o Ensure all relevant documentation is completed by service user at point of admission assessment including; Health Insurance Documentation, Consent Forms etc.

o Inform all service users due for admission of any payments/excesses that they may have to make prior to the admission date

o Collect any payments/excesses as identified by the Finance Department on the verification log at point of admission and receipt same.

o Take all service user ID photos at point or registration and on wards when needed.

o Accompany service user to allocated ward when appropriate and as agreed with assessing Doctor Assessment Unit CNM.

o Manage scheduling of daily assessment appointments

o Every morning, collect ‘Midnight Returns’ list of all patients admitted after 5pm, ensuring that the relevant Admissions Documentation has been completed and contacting patients on wards if not.

o Provide cross-cover to the Assessment Unit Administrator during periods of leave including break periods and lunch periods.

o Assist Assessment Unit Administrator where required to ensure that all admissions are carried out efficiently and effectively.

o Carry out all other duties relevant to the postion as may be required from time to time.
