Our Client based in County Monaghan is seeking to recruit an experienced experienced and professional Personal / Executive Assistant to support the CEO of a busy operation to ensure that all secretarial, administrative and support requirements are met

 

Our Client based in County Monaghan is seeking to recruit an experienced experienced and professional Personal / Executive Assistant to support the CEO of a busy operation to ensure that all secretarial, administrative and support requirements are met.

Supports the above to perform his/her responsibilities in an organised and timely fashion which is consistent with the operating practices of the business, the requirements of his/her role and in doing so provide support to the relevant team within the organisation.

 

Responsibilities:

  • Providing Personal Assistant support to the CEO & Management - complex diary management, screening calls, travel arrangements, arranging conference calls, organising meetings and sometimes also required to be present in meetings and take minutes.

  • Review and attend to emails

  • Exchange and obtain information from senior management, external clients, suppliers and stakeholders.

  • Manage aspects of the team meeting including venue set up, diary notices, documentation and materials.

  • Administrative support including filing, photocopying, mail merges, scanning of documents and general office support as required

  • Office management

  • Carrying out specific projects and research

  • Taking on some of the CEO’s responsibilities and working more closely with management.

  • Deputising for the CEO, making decisions and delegating work to others in the manager's absence.

  • Manage HR duties for co-operative.

  • Any other duties as requested by CEO.

     

    Requirements:

  • Previous experience in a Personal Assistant role supporting senior management

  • Must be pro-active and able to work on own initiative

  • Proficient in the use of MS Word, Excel and Outlook

  • Preparation power point and other forms of presentation for internal and external attendees – PowerPoint knowledge required.

     

    Competencies:

  • Excellent communication skills, including the ability to effectively communicate requests and instruction to individuals and groups

  • Commitment to and enthusiasm for, client service and delivery, proactive approach and personal manner

  • Ability to work co-operatively and effectively.

  • Ability to manage multiple tasks simultaneously, solve problem, manage and meet deadlines and maintain a high quality of work.

  • Integrity to manage sensitive information in a confidential manner.
