  • Secretarial/admin qualification e.g. ECDL or ability to demonstrate advanced experience in the use of MS Office systems.

  • At least 3 years previous experience of working in an administrative capacity and liaising with staff at all levels in a large organisation.
  • Advanced experience in the use of MS Office packages.
  • Previous customer service experience.

 

  • Previous experience of working in a hospital / healthcare environment. 
  • Previous experience of working in a quality environment.
  • Experienced in the delivery of training.

 

Skills/Abilities

 

 

 

 

  • Advanced IT skills to include MS Office and other in-house systems.
  • §  Detail and accuracy oriented, with excellent analytical and report writing skills.
  • Excellent communication and interpersonal skills with the ability to liaise confidently with and motivate different levels of staff in an organisation.
  • Excellent organisation and time management skills with proven ability to multi-task and meet deadlines in a pressurised administrative environment.

J O B   D E S C R I P T I O N

                                                                              

Job Title: Patient Advocacy/Q Pulse Administrator   

Grade: Grade IV          

Department: Quality Management Department

Report to: Quality Manager

Responsibilities & Accountabilities(in no particular order of priority)

This is an administrative support role to the Quality Management Department of the hospital. 

Summary of Position:

The Patient Advocacy/Q Pulse Administrator acts as the central point for the management of the Q-Pulse system within an organisation.  The Patient Advocacy/Q Pulse Administrator  is responsible for facilitating users within the organisation to access and utilise the Q-Pulse system on a daily basis.

Main Activities:

The main activities of the Patient Advocacy/Q Pulse Administrator include high-level maintenance of the Q-Pulse system and provision of support to Q-Pulse users within the organisation.  This includes:

 1.     Maintenance of the Q-Pulse System

  • Create new Q-Pulse users and user groups as required

  • Inform new users of access details

  • Continuously update Q-Pulse users to reflect changes in active employees and employee roles

  • Monitor user access rights to ensure users can access information pertinent to them

  • Customise system messaging service

  • Populate Q-Pulse menu structures within Q-Pulse Modules

  • Create customised Q-Pulse reports

  • Create and publish search folders

  • Brand Q-Pulse with the organisation’s logos

  • Create and manage Q-Pulse deputies

  • Establish quality control systems for Q-Pulse including audit

  • Ensure that the audit activity for Q-Pulse system is updated

  • Maintain accurate statistics of activity

  • Be responsible for maintaining appropriate records

  • Identify deficiencies in Q-Pulse system, report these to the Quality Manager and where appropriate take corrective action

 2.     Provision of Support for Q-Pulse Users

  • Support users in the customisation of modules (eg creation of templates and wizards in the Corrective and Preventative Actions Module)

  • Support users in the management of specific modules (eg equipment, suppliers)

  • Facilitate users to manage, individualise and maintain their Q-Pulse accounts

  • Support users to perform all necessary actions within Q-Pulse

  • Participate on the Q-Pulse hospital committee and any other hospital committees as deemed appropriate

  • Attend appropriate meetings

  • Liaise with I.T. Department on relevant issues

 3.     Training

  • Provision of ongoing education and training to Q-Pulse users

  • Training requirements for users vary dependant on their requirements for the Q-Pulse system, thus different training shall be required dependant on user need and Module type

  • Provision of introductory training to all new users (new employees) to the organisation

  • Training provision should be based on training needs assessment

  • Formulate and implement training and education programmes for staff

  • Be committed to continuous self education in matters relating to Q-Pulse
