Description

The Central Bank of Ireland wishes to appoint a Document Controller for its Corporate Services Division. This role is on a three year fixed term contract.

The Long Term Accommodation (LTA) project office of the Central Bank of Ireland will be responsible for the delivery of the LTA Programme and this will include the discharge of internal governance, financial and administrative functions etc. A Document Controller (DC) is required as part of the overall project office team. The DC, reporting into the assistant office manager will assist with the overall document management and compliance on the projects.  The DC ensures the smooth running of the project wide document control and design information flow administration. The DC maintains all important documentation for the project and assures they are easily accessible and stored for the project team.

Specifically, the document controller will:

Key accountabilities:

  • Implement a document management process for all pertinent project documentation, both electronically (using Microsoft Sharepoint) and in hard/printed copies.
  • Manage the document control procedures and maintain a document control register and files under safe custody without any damage or deterioration with easy traceability.
  • Ensure that controlled copies of the latest approved document/drawings/technical specifications/internal papers/speaking notes are maintained, received from and issued to the relevant project stakeholders.
  • Maintain and secure all legally required documentation such as fire certifications, planning and legal documentation, disabled access documentation, compliance certifications etc.
  • Provide administrative and general support to the project team.
  • Facilitate and support the collation of handover documentation (body of evidence) for the project.

Knowledge/ Experience:

 

Education and Experience:

  • A third level professional qualification related to management, business administration, property management, records management is desirable or equivalent practical experience.
  • A minimum of three years’ experience as a document controller of civil engineering or construction projects, including setting up and managing the document management system.

Technical/ Professional skills and knowledge:

  • Working knowledge of Microsoft Sharepoint and strong IT skills.
  • Proven administrative experience in a busy pressurised environment.
  • Excellent communication skills.
  • Ability to work as part of a team.
  • Good attention to detail.
  • Ability to maintain key relationships.
