The Investor Services Department (also known as the Transfer Agency Department) is primarily responsible for maintaining a fund's share register.  This involves the maintenance of key investor account information, the recording and classification of investors in accordance with key industry declarations and requirements, and the processing of all investor dealing instructions if accordance with a fund's offering memorandum.  The Investor Services Department effectively becomes the main contact point for a fund's investors, dealing with their queries, processing their subscription and redemption requests, and money movements in an out of the fund account. 

As the Investor Services Department is at the front line in dealing with investors, it is also responsible for ensuring all appropriate Anti-Money Laundering / Client Identification procedures are implemented and adhered to at all times.  

Deliverables & key activities

  1. Scan and log all investor and client documentation (trades, AML, Investor correspondence) as received into the Investor Services Workflow system accurately and timely.
  2. Sorting, recording and distributing incoming post across the department.
  3. Review and proofread documentation (scanned and received) into the Investor Services Department allocating accurately to the appropriate queues within Workflow – investigating timely any anomalies as received.
  4. Maintain a secure robust filing system of Investor Files / data (both hard and soft copy) in accordance with Corporate policy and regulatory stanards.
  5. Track and provide weekly progress updates on the week’s achievements, highlighting any constraints timely to the appropriate Manager within Investor Services. 
  6. Ensure responsibility for the accurate and timely preparation of Operational Data for offsite storage in accordance with Corporate policy and local legislation ensuring ease of retrieval at a time in the future.
  7. Assist the Investor Services team in the retrieval of Investor files and general filing / reporting duties.
  8. Ability to work in an orderly manner and on own initiative
  9. Adhere to strict Clean Desk policy and assist in maintaining a clean general office environment.
  10. Establish effective professional relationships with the various teams within the Department.
